Configuring The Item Master

In item master, shelf life and minimum shelf life has to be configured for the item along with expiry details. Kindly find the steps below.

 

1. Under the Repackage tab of the item master, “Expiry Days/Month (Repack/Packing Date)” field has to be set either as Days Based or Month Based. Values have to be given for the fields “Shelf Life” and “Minimum shelf life” as shown in the image below.


 


Expiry Days/Month(Repack/Packing Date): This field has two options which are Days based and Month Based. When user sets as Days based, application will ask users to enter the packing date in DD/MM/YYYY format and also calculate the expiry date in DD/MM/YYYY format. When the user sets as Month based, application will ask users to enter the packing date in MM/YYYY format and calculate the expiry date in MM/YYYY or DD/MM/YYYY format. 


Shelf Life: This field represent the number of days or months the item has before expiry. Suppose in this case value is given as 5. This means the item will expire from 5 days / months from the inward date. 


Minimum shelf life: This field represents the minimum number of days / month the item has to be in our shelf. In this case the value is given as 2 which means the item should not expire before 2 days / 2 months. 


2. Under the Gen tab, user has to set the expiry details for the item. Here, is a sample screenshot. This is configurable based on user choice. However, there are some validations as to the values that can be selected.

 


3. Validations: 
  1. Minimum shelf life cannot be greater than shelf life.
  2. Batch / Expiry Details has to be set as mandatory.
  3. When value is set as days based in Expiry Days/Month (Repack/Packing Date) then Expiry/Mfr date format has to be set as DD/MM/YYYY only
  4. When value is set as month based in Expiry Days/Month (Repack/Packing Date) then Expiry/Mfr date format has to be set as either DD/MM/YYYY or MM/YYYY only.
  5. Batch / Expiry Optional value cannot be set as Expiry optional.
  6. The feature is supported only for Preparation status of Repackage, Bulk and Trade As Is only. 

Example: Suppose the above value is set in item master and the system date is 22 of the month. Then while making inward entry application will allow to enter the packing date only in the range 19th to 22nd of the month (5 shelf life – 2 minimum shelf life = 3 days. So range starts from 3 previous days excluding current date.). Suppose the packing date is given as 19th then expiry date will be calculated as 19+5(shelf life)=24th of the month.
