1) Ensuring correct billing:
- Always ensure to add the correct items in the bill as per what is actually sold to the customers. Do not bill alternate items that are of the same price or conditions same as the item sold
- For example, let us consider Cadbury 5 star and Nestle Munch, both with per piece price of Rs.5. The actual item sold to a customer is Cadbury 5 star. Suppose you are not able to load this item for some reason, do not add Nestle Munch to the bill at any cause.
- Reason: If such item replacement is done in the bills frequently, then as per the sales history, the item Nestle Munch will have fast movement. Therefore, during analysis The Eye will consider Nestle Munch as A class item and recommend higher quantity even though sales has happened for Cadbury 5 star, and the vice versa can also occur wherein the recommendation for Cadbury 5 star will be less in some cases.
- It is advisable to set up the Brand hierarchy and map all the items to appropriate brands in the business. It is correct to say that mapping the items to the Brands can bring in a lot more quality in hierarchy and helps to arrive at many business decisions quicker.
- If the Brand Hierarchy is already set in the POS, it is good. But if not, customer should first create the hierarchy for it in the POS and map the items to correct brands.
3) Visualizing the Brand and Supplier mapping
- Once the above step is completed, guide the customer to prepare an Excel sheet with the following columns - Brand, Primary Supplier, Secondary Supplier (optional).
- After filling out the sheet with the help of the store owner or Purchase Manager, understand if all the brands are mapped to a Primary Supplier compulsorily. Setting up this mapping will help to get a picture of supply and aid in simple reordering.
- During the trial period, pick 10 to 20 brands and ensure Primary Suppliers are mapped correctly to the selected brands as a pilot step.
Result: The masters will be ready by the end of the first call and the customer will be ready to take the first step in exploring The Eye.
- Begin with explaining to the customer about Daily News page, Spotlight search, and quick overview on Reorders for today.
- Go to 3 dots → Continuous implementation → Assortment Control. Click on the Download icon and download the following masters:
* Article Master - to check the correctness of brands
* Supplier Articles - to filter the brand and validate the primary supplier
- Confirm if the master data is correct from above downloads, and if not make the changes in the POS to be reflected in The Eye.
2) Setting up schedules, and doing Stock audit
- Continue from the spotlight topic and guide how to search for a supplier in the spotlight search at the top.
- In the Supplier Wall, click on 3 dots → go to Schedules. Explain about the data to be fed in all the fields and make the customer fill up the data for the selected supplier and set the schedule.
- To begin with, consider simple suppliers and do not consider suppliers for whom we need to set the inclusions or exclusions. Even setting up the Supplier contacts can be ignored in this session.
Note: While giving the Holding Days, give the least possible and feasible value that you think will be sufficient. Do not enter holding days more than what is required, because The Eye considers the holding days given by the customer if given more than the actual need, but if it is less than the demand, The Eye can learn and recommend itself. For example, if the actual holding days is 10, we can set 8 but not 15.
- Review the Revenue vs Inventory widget in the Daily News page. If the Inventory is greater multiples of the average monthly sales, or in case the customer has not audited the items in the recent past, send for Full Store audit to correct the inventory.
- If the inventory is almost close to the average monthly sales, and if the customer has done stock audit recently, do stock audit supplier-wise and correct the inventory.
Note: After setting up the schedules in The Eye for all the suppliers, ensure to keep the "Auto schedules" configuration under Flight plan → System levers in disabled state.
Result: The schedules are setup for atleast 10 suppliers, and The Eye is now ready to start raising the purchase orders
- Navigate to the Supplier wall of any supplier. You will see the dormant (non moving) items above the Purchase lineups section. Click on the link to review the list of items.
- Review each item and get confirmation from the customer on which item can be given another chance to do the study by The Eye.
- Click on 3 dots → click on Dormant bootstrap. Enter the stock you want for the first time alone, and from next time The Eye will infer and recommend the quantity automatically. Do the same for required items against this selected supplier, and replicate the same for other suppliers as well.
- Do not mention about Purchase deactivation at this moment.
2) Raising reorders from The Eye:
- Consider a Supplier walkin today, go to Supplier wall → Purchase lineups and click on recommended items for purchase. Brief about the columns in the reordering screen, menus under settings icon, filters and suggestion at the top of the screen.
- Mention about the UOM column, and how case size recommendation will be given based on the conversion set in the POS. Take the decision by yourself if this should be told to the customer based on the need basis.
- Apply the filter in 'Order By' and select "Bill Count". Ask the customer to review the recommendations, especially for A and B class products.
- Search for #OOS in the search bar to filter the items that are/will go out of stock, and validate the suggestion.
- Apply the filter in 'Order By' and select "Order Worth". Review the order in which the items are listed. Ensure that when this filter is applied, only the A & B class items should show up in the top. If any C or X class items are above, check with the customer if this item should be ordered in this PO. If he considers not required, it should be ignored while raising reorder.
- Click on 'Mark all reviewed' and brief that Emails will be sent directly to the supplier if it is already set in the POS or The Eye. Click on 'Raise PO' and show how it is reflected in the Supplier wall → PO History.
- From the PO History tab, guide the customer about the PDF download option and send Email to the supplier.
Result: Each customer should be able to raise minimum of 25 to 50 POs to atleast 10 suppliers, and bring the dormant percentage down in a week.

If the customer is quick to learn, understand the above steps and implement in business in 2 weeks, ask him to refer to the videos on Bulk and Repack under Sys Training → Trial DIY, in the section "Art of Repack".
Give an overview about Supply chain health tracking, and explain the customer how to track the raise POs from this widget.
Conclusion: The above simple steps are sufficient for any customer to use The Eye during the trial period. Once the customer is clear on the above steps, encourage him to replicate the learning and onboard more suppliers and brands into The Eye , and move his purchases completely into The Eye.
