A Sales Quotation helps the seller in initiating sales by providing the prospects with a price estimate of the quantity they prefer. Sales Quotations are usually given in sales involving huge amounts. Customers require Sales Quotations to make the right purchase decisions.
RetailEasy on-cloud has provisions to create new Sales Quotations, cancel, revise/regenerate existing Sales Quotations. The estimated price in the Sales Quotation covers the applicable offers/discounts (referred to as a Quantity). The Sales Quotation in RetailEasy on-cloud supports 4 different Delivery types - Delivered, Home delivery, Delivery, Pick-up
How to create a Sales Quotation?
Step 1: In the main tab of RetailEasy on-cloud, click on Sales > Sales Quotation
Step 2: On the Sales Quotation screen, press Enter on the Customer field and choose from the List pop-up, the Customer details will be auto-updated to the respective fields
Note: You can Quick add customers from the Sales Quotation screen using the Keyboard shortcut Shift + F4
Step 3: Select the Invoice Type from the drop-down. Enter the Coupon Balance
Step 4: Fill in the fields on the Shipping details panel
Ship Name: Press Enter on the Ship Name field and choose from the List pop-up
Delivery Type, Sales Type, C Form: Choose from the respective drop-downs.
SO Stock Status: Assign the Status as Stock Reserved or Stock Not Reserved, from the drop-down. Marking the SO Stock Status informs the prospect if the Stock has/hasn't been reserved for their purchase.
Step 5: Adding the Items to the list
Code, Description, GST%: Enter the Item Code directly or press Enter or press Tab on the Code field and choose the Item from the List pop-up. The Description, GST% fields will be auto-filled
Qty, Sell Price, MRP: Enter the expected Qty, Sell Price, MRP of the Items.
Note: The Sell Price is manually filled in (It is not the Selling Price of the Item).
Disc%, Disc Amount: Enter the Discount % and the Discount Amount will be calculated and filled automatically. As each Item gets added, RetailEasy on-cloud updates the Net Item discount amount, which can be checked on the right most panel
GSTTaxAmt, Net Amount: The GSTTaxAmt is auto-filled by reckoning the GST% on the entered Sell Price. The Net Amount is auto-filled after deducting the Discount Amount and adding the GST Tax Amount. As each Item gets added, RetailEasy on-cloud updates the Total GST amount, which can be checked on the right most panel
Note: We can delete an Item from the list by entering the Qty field of the Item and pressing the Delete key. A message asking for the delete confirmation appears. Click on OK to confirm the deletion.
Step 6: The Bill Level details on the right most panel of the Sales Quotation screen
Disc%, Disc Amount: Enter the Bill Level Discount % and the Bill Level Discount Amount will be auto-filled
Round off Amount: The amount entered in this field will be added to the Total Amount.
Say, the Total amount is Rs. 4996, and the Round off Amount is Rs. 4, the Total Amount will be updated to Rs. 5000
Step 7: In RetailEasy on-cloud, Remarks and Messages can be added to the Sales Quotation. Click on Save or press F6 to Save the Sales Quotation.
With a few clicks, the Sales Quotation has been successfully created and saved.
