How to ensure GRN quantity is not greater than PO quantity in GoSure (RetailEasy7)?


The main purpose of creating a Purchase order is to ensure that the goods ordered match the ones that are received and the buyer is charged the right amount for the goods. In order to meet the above purpose of Purchase order, it is essential to keep a check on the goods delivered and its quantity, while making GRN and ensure that the GRN quantity is should be equal to the PO quantity to avoid confusions in material transaction and financial transaction.

 

Benefits of configuring GRN quantity not greater the PO quantity:


Using this configuration, the GRN Managers can restrict the GRN pickers from making GIN, when GRN quantity is greater than PO quantity. This will ensure that there is no confusion in the delivered quantity of goods and avoid conflicts in payment for additional goods delivered.

 

How to ensure GRN quantity is not greater than PO quantity in GoSure (RetailEasy7)?

 

Pre-requisite: Enable the configuration "GRN quantity should not be more than PO quantity" in the GRN web-app

 


Step 1: In the GRN module of GoSure, enter the Supplier Details by clicking on "+Supplier Details" button at the top of the screen, select the PO from the selected supplier by clicking on the "+PO" button at the right end of 'Add Header Details' tab and click on 'Proceed'. Now, select the item(s) from the particular supplier for the selected PO.


Step 2: Scan the stock of the selected item and you will observe that a pop-up appears, when the GRN quantity is greater than the PO quantity.

 


Step 3: If the GRN quantity is corrected such that it is either less than or equal to the PO quantity, then the stock will be confirmed and added to the cart. From the below image, it is evident that the GIN can be submitted now after matching the GRN quantity with PO quantity.


NOTE: If the configuration "GRN quantity should not be more than PO quantity" is disabled, the GRN picker can make GIN with even GRN quantity greater than PO quantity.

 


While making GIN with this configuration disabled in the GRN web-app, only a confirmation pop-up appears and by clicking on 'Continue', the GRN picker can continue making the GIN and submit it.

 

 

Conclusion:
By enabling this configuration in the GRN web-app, the GRN managers can assure that allowed quantity for making GRN is not more than the PO quantity and thus there is no discrepancy in the delivered goods by the supplier.
