Serialisation of items is done to make inward GRN entry easier for the user. In some scenarios, certain items can be provided by the seller to the buyer, for free by the seller like to retain the relationship with the buyer or as a compliment in order to pacify the customer for the error committed by the seller during earlier deliveries or as a token of gratitude for an increase in business revenue, etc. In such cases, the GRN entry cannot be made like a normal stock and there arises a need for an option to allow free serialised items.
Benefits of free serialised items entry in GoSure:
The "Selected serial as free" option is used to specify the serial numbers of items which are offered free and account for this stock separately in order to avoid confusion.
Making GRN for free serialised items in GoSure:
The GRN entry can be made for free serialised or multi-serialised items from both web app and mobile app.
(1) How to make GRN for free serialised/multi-serialised items in web-app of GoSure?
NOTE: If the item is serialised, choose the "Product Type" as "Serialised" and if the item is multi serialised, select the "Product Type" as "Serialised" and fill the "Serial field" column, in the "Item Master" in RPOS.
Step 1: In the GRN web app screen, fill the supplier details, invoice details and select serialised item from LOV.
Step 2: Enable "Selected Serial as free" and enter the serial number in 'Serial1' field. If the count is more than one, enable "Auto Generate serial numbers" and enter the count in the "Item count" field.
Step 3: Click on 'Generate' and serial numbers are generated based on item count.
Step 4: In the GoSure web app screen, you will see the items are considered under 'Free' field. Click on 'Submit' to submit the invoice.
NOTE:
1. Making GRN for free multi-serialised items: To make GRN for multi-serialised items, mention the "Serial fields" in Item Master of RPOS and follow the same procedure.
2. Adding prefix to serial number: To add prefix to serial number enable "Auto number having prefix".
(2) How to make GIN for free serialised/multi-serialised items in mobile-app of GoSure?
Prerequisite: Enable "Allow Serial barcode generation from mobile" in the GoSure web-app
Step 1: In the 'GRN' module of GoSure mobile app, enter the supplier details and invoice details and click on 'Proceed'. Select the serialised item and click on 'Start Scan'.
Step 2: To make GRN of serialised item as free quantity, switch the control towards "FREE". You can scan the serialised barcode only once and when you scan the same barcode again, a pop-up appears that the barcode already exists. You can add remarks by clicking on "Remarks" at the top of the screen and change the batch of the item by clicking on "Create new batch".
Step 3: You can view more details of scanned free serialised item like Available Stock, Stock, MRP, and Cost by clicking on "Swipe for details". You can add remarks in this screen also by clicking on "Remarks" at the bottom. Also, by clicking on the Stock, you can view the barcode of that scanned quantity and edit the barcode by selecting it or delete by clicking on the Trash button on the right.
Step 4: You can delete the scanned item, by swiping the item towards left of the screen and clicking on 'Delete' button. Finally, click on "Done" to submit the GIN.

Making GIN for free multi-serialised items: To make GIN for multi-serialised items, mention the "Serial fields" in Item Master of RPOS and follow the same procedure.
Conclusion: The "Selected Serial as free" option enables to make the GRN for free serialised / non-serialised items, which is used to track the normal stock and free stock thus avoid the confusion in inventory and enable transparency in the supply chain for all the items.
