Manual Indent Process for ServEasy [Rpos6] HQ Environment

Manual indenting is a process through which the user can submit requests to the warehouse for inventory management. This process is based on reorder formulas such as Min/Max levels, last sales quantities, last purchase order quantities, and so on.

This manual indent process functions in two distinct ways based on the supply chain:

 

1. Manual indent process based on the required quantity without any reorder formula.

2. Manual indent process based on the reorder formula.

 

Notes**Note: 
For assembly products, the user will raise the indent for the ingredients rather than for the finished items.

**Manual Indent Process:**

The manual indent will be created based on the available stock at the outlet. For instance, if an outlet requires products such as trade items, kit items (finished or semi-finished), or raw materials, the outlet will manually raise an indent. This indent will be received and processed at the warehouse, and the requested stock will be dispatched to the outlet. Upon receiving the stock, the outlet can proceed with sales.

 

Outlets will submit indents to the warehouse for the products they require.

 

  • The indent expiry can be managed through configuration based on the time frame set at the outlets.

  • Indents can also be raised for packaged goods and finished goods to various locations, including the warehouse, central kitchen, or branch.

  • Indents can be submitted to the central kitchen or warehouse in several different ways:

A. Raising indent by adding an item one by one from the outlets:

 

Step 1: Go to Branch> Indent list in POS.

Step 2: Select the Source Location [Name].

Step 3: Put the Indent Expiry date.

Step 4: Select the To Location.

Step 5: Fill in the necessary item details for the indent.

Step 6: Click on the [F6 Save] button.  


 

InfoB. Raising indent by loading the Indent template created from HQ:

 

Step 1: From HQ, Go to BPM> Inventory Management> Indent Portal Template> Click on Add.


 

Step 2: After selecting the Add button, a new screen will open where you can enter the Template Name and add the required items from the "Available Items" section to the "Selected Items" section by clicking on the right arrow ">"button in the middle of the screen. Once completed, click on the [SAVE TEMPLATE] button.

 

Step 3: Click on the [Send to Outlet] or the [Send All to Selected Out] button to send it to the necessary outlets.

 

 

Step 4: Once the indent template is received at the outlet via NetTrade, go the Branch> Indent List.  

 

 

Select the Branch and then click on the [F1 Load Templ] button so that the created templates in HQ can be loaded on the screen.

 

 

InfoC. Raising indent by using the filter option where the items will be loaded based on the category name, preparation status, etc:

 

Step 1: Go to Branch> Indent list in POS.

Step 2: Select the branch and click on the [F5 Filter] option as shown below.

 

 

As shown in the above images, you can raise the indents from the outlets/branches in multiple ways.

 

InfoManual Indent with Reorder Qty Process:

You can generate a purchase indent directly from the Reorder screen using the Reorder formula, such as Min/Max Quantity, Last Indent Quantity, or Last PO Quantity. Instead of starting the indent from the outlet in the indent screen, you can initiate it directly from the Reorder screen based on the configured formula. Once generated, this indent can be sent to the Supply Chain according to the Reorder formula set for each item in the item master.

Step 1: Go to MDM> Item Master Management> Item Master. 


 

Step 2: Choose the item for which you want to set the reorder formula and then click on the [Re-Order]. The process is itemized, meaning you need to complete each task one at a time.

 

 

Step 3: Select the Reorder Type as "Manual", Select any one reorder formula from the list as Min and Max Qty Level, Reorder Qty, Daily Sales Qty and set the value for the Items.

(For any transaction-based reorder, like sales or purchase, the system needs min 4-6 months of sales data).

To upload settings in the Item Master via CSV (in bulk), navigate to "Outlet Specific Data." You will see a screen that allows you to select the required columns. Once you have made your selections, you can export the data.

 

 

 

After exporting the CSV file, open it and modify the Reorder Type, Reorder Formula, and Min/Max Quantity as needed. Finally, you can import the edited CSV file back into the same screen.

This process can also be done from theItem Master Bulk update screen by selecting the "Outlet wise" option so that the items can be managed by choosing the Reorder Type and Reorder Formula.

 

Step 4: Once the above configurations are done in HQ, sync the masters.

Step 5: In Outlet POS, Go to Inventory> Reorder. The Reorder screen will open as shown below.

On the first page, enter the supplier details. Choose "Reorder Generated based on" as "Supply Chain", select the Central Kitchen/Warehouse, and then proceed by clicking the Next button as shown below.

Step 6: On the second page, select the "Branch Name" and then press enter on "Suggestion Qty based on" and choose the reorder formula you’ve mapped for items in the item master.

Here, as an example, we have taken the Min and Max Qty Level Reorder formula.

After selecting the formula, the items will automatically load on the Reorder screen, as shown above. The items appear in three different colours, with the colour distinctions displayed by default on the Reorder screen.

Meaning of Colour Codes:

  • Items in Black - Items which have stocks less than the Max Qty.

  • Items in Blue - Items which have stocks less than the Min Qty.

  • Items in Red - Items which have no stock.

Additionally, filter options are available, as shown in the image above, to load only "Out of Stock" and "Minimum Level Stocks" items on the Reorder screen.

Step 7: Finally, save the Reorder so that Indent will get raised to the Supply chain outlet.
