Purpose:
The Skip Bill feature is designed to help manage backdated billing situations. It allows you to skip a specific number of bills on a particular date and continue billing for the current date. This is particularly useful when you face circumstances such as technical issues or other reasons that prevent you from processing bills on a certain day. The skipped bills can be entered later, when it's convenient.
Real-Time Scenario:
Imagine a scenario where you were unable to process sales bills on a particular day due to a hardware problem. In such cases, you might have created manual sales bills. The next day, you want to continue billing with the current date but do not have time to enter those manual bills into the system. The Skip Bill option helps resolve this situation by allowing you to "skip" the manual bills for now, and enter them into the system when time allows.
Pre-Checks:
Before using the Skip Bill feature, make sure the following prerequisites are met:
Professional Edition Required: Ensure that you are using the Professional edition. If not, you can either purchase it as a custom license or upgrade to the Professional edition to access all of the included features, including Skip Bill.
Operations Available Under Skip Bill:
Sales Bill Entry Only: The Skip Bill feature can only be used for sales bill entries. Other transactions cannot be skipped using this feature.
Counter-Wise Bill Numbers: Bills can be allocated based on the counter.
Company-Wise Skip Bills: Skip bills can be added for specific companies within your system.
Where to Find the Skip Bill Option?
The Skip Bill option is accessible in the system’s settings and operations section. Here’s how you can configure and use the feature:
Step 1: Decide the Date to Enter the Skipped Bills
First, decide which date the skipped bills belong to. This will be the date for which you are entering backdated sales bills.
Step 2: Choose the Company and Division/Location
Decide the Company and Division/Location for which the skip bills are to be entered. This ensures the bills are allocated to the correct business unit.
Step 3: Define the Number of Bills to Be Added
Specify the number of bills you want to add for the chosen date. Enter the quantity of skipped bills that need to be created.
Step 4: Counter-Wise Bill Splitting
If necessary, allocate the skipped bills to specific counters. This will help keep track of sales by different counters in the system.
Click UPDATE.
Step 5: Using the Created Skip Bills
After creating the skip bills, follow these steps to process them:
Open the Bill Entry screen in your system.
Navigate to Bill Edit in the key settings.
Use the date filter to search for bills created using the Skip Bill feature.
Step 6: Edit the Skipped Bills
Once the skipped bills are loaded, they will appear with a "ZERO" value.
Select any skipped bill to enter the item details, customer, and payment details (tender).
After filling in the necessary information, save the bill.
Repeat the process for all other skipped bills.
Step 7: Checking the Bill Status
To check the status of the skipped bills:
Navigate to Sales > Reprint in the system.
Apply the date filter to search for skipped bills.
The skipped bills will have a status of "skipped".
Limitations of Skip Bill Feature:
Future Date Bills: You cannot skip bills for future dates. Skip Bills can only be created for past dates.
Transactions After the Skipped Date: Skipped bills can only be entered if no transactions have occurred after the skipped date.
Disable Configuration for Saved Tender Details: To save the edited skipped bill, make sure the “Load saved tender details in edit mode” configuration is disabled.
Conclusion
The Skip Bill feature is a helpful tool for businesses to manage backdated sales when technical or other issues prevent timely billing. By following the steps outlined in this document, you can easily enter and process skipped bills later.
