Loyalty Program Info for Retail and Distribution Verticals:

 

Purpose: The Loyalty Program Master screen in TruePOS is designed to streamline the management of loyalty programs from a single interface.
In Retail / Distribution, loyalty programs are one of the most effective strategies for
customer retention, helping attract repeat customers by offering
rewards in the form of
loyalty points.

True-POS simplifies this process with a dedicated screen that allows businesses to define, manage, and assign loyalty programs efficiently.

Note: Loyalty Program Info module works based on a "Custom License" which required to be purchased to activate the module.  

Modules in Loyalty Program Master  

The Loyalty Program Master consists of the following three key modules:

  1. Loyalty Info

  2. Loyalty Prize Info (for Distribution only)

  3. Loyalty Customer Mapping (for Distribution only)

 

Accessing Loyalty Program Info  

1. Navigate to Master → Customer → Loyalty Program Info

Loyalty Info  

This module is used to create and configure a new loyalty program.

1. To create the "Loyalty Program"  Click on "Add Loyalty".

Steps to Create a Loyalty Program for Retail verticals:



  1. Add Loyalty Name – Enter the name of the loyalty program.

  2. Select Start Date and End Date – Define the duration of the program.

  3. Round Off Option – Choose whether loyalty points should be rounded off:

    • Yes – Points will be rounded down to the nearest whole number.

      • Example: 1.9 → 1, 1.1 → 1

    • No – Points will retain their decimal values.

  1. Minimum Redeem Point – Enter the minimum number of points required for redemption.

  2. Loyalty Calculation Based onAmount
    Amount-based – Monetary rewards based on transaction totals

  3. Based On - In retail doamins, Loyalty Program can only be based on "Amount", it will be configured as "Bill-wise Loyalty". In this case, Item-wise and 
    Category-wise Loyalty options will be disabled.

  4. Status – Set the program to:

    • Active – Program is currently in use.

    • Inactive – Program is disabled.

  5. Amount Per point - Mention the value of amount that should be calculated for each point. 

  6. Branch - This field will list down all the active branches from branch master and you can configure loyalty based on location. If a loyalty has to be applicable for all branches then click on "All Locations". 


    Bill-wise Loyalty

    Bill-wise Loyalty is enabled when the loyalty program is based on "Amount." This option allows configuration of loyalty point calculation
    based on bill value ranges.


    Configuration Steps:

    • In the Start Amount field, enter the minimum bill amount from which loyalty points should be calculated.

    • Define the End Amount to specify the upper limit for that range.

    • In the Point Basis Amount field, enter the chunk value for loyalty point calculation.

    • In the Earn Point field, enter the earned point value.  For example, if 100 is the point basis amount and the earn point is set as 1.
      Then for every 100, the earned loyalty point is 1.
      Note: For Retail vertical, only Billwise loyalty is supported.

Steps to Create a Loyalty Program for Distribution verticals:  

  1. Add Loyalty Name – Enter the name of the loyalty program.

  2. Select Start Date and End Date – Define the duration of the program.

  3. Round Off Option – Choose whether loyalty points should be rounded off:

    • Yes – Points will be rounded down to the nearest whole number.

      • Example: 1.9 → 1, 1.1 → 1

    • No – Points will retain their decimal values.

  1. Minimum Redeem Point – Enter the minimum number of points required for redemption.

  2. Applicable to All Customers

    • Yes – Loyalty applies to all customers; the Customer Mapping screen will be disabled.

    • No – Loyalty will be applied only to selected customers via the Customer Mapping screen.





 6. Loyalty Calculation Based on – Choose one of the following:

    • Point-based – Points awarded per transaction value.

    • Amount-based – Monetary rewards based on transaction totals

 Note:

If the Loyalty Program is based on "Amount", it can be configured as "Bill-wise Loyalty". In this case, Item-wise and
Category-wise Loyalty options will be disabled.

If the Loyalty Program is based on "Points", it can be configured as either "Item-wise Loyalty" or "Category-wise Loyalty".
In this case, the
Bill-wise Loyalty option will be disabled.

 7.Status – Set the program to:

    • Active – Program is currently in use.

    • Inactive – Program is disabled.

There are three types of loyalty programs available:

i) Bill-wise Loyalty 
ii) Item-wise Loyalty
iii) Category-wise Loyalty




Bill-wise Loyalty

Bill-wise Loyalty is enabled when the loyalty program is based on "Amount." This option allows configuration of loyalty point calculation
based on bill value ranges.

Configuration Steps:

Item wise loyalty is enabled when the loyalty program is based on "Points." In this configuration, loyalty is assigned per item/ Category.

Configuration Steps:

  • Select the item from the dropdown list.

  • In the Start Amount field, enter the minimum purchase value  from which loyalty points should be calculated.

  • In the Earn Point field, enter the earned point value.  For example, if 100 is the point basis amount and the earn point is set as 1.
    Then for every 100, the earned loyalty point is 1

  • In the Point Basis Amount field, enter the chunk value for loyalty point calculation.

  • This loyalty can be calculated based on "Volume" or "Quantity" depending on the nature of the item.


Category-wise Loyalty

Category-wise Loyalty is enabled when the loyalty program is based on "Points." Loyalty points are calculated for items grouped under specific
categories.

 

Configuration Steps:

  • Select the category from the dropdown list.

  • In the Start Amount field, enter the minimum purchase value  from which loyalty points should be calculated.

  • In the Earn Point field, enter the earned point value.  For example, if 100 is the point basis amount and the earn point is set as 1.
    Then for every 100, the earned loyalty point is 1

  • In the Point Basis Amount field, enter the chunk value for loyalty point calculation.

  •  This loyalty can be calculated based on "Volume" or "Quantity" depending on the nature of the item.



Loyalty Prize Info:  

Loyalty Prize Info:  Based on the loyalty points earned, you can set gifts as complimentary rewards to the customer.

Note: To do this, the "Gift" must first be created under the Gift Master menu.

Menu Access: Go to Master → More → Promotion -> Gift







To create a Gift Master:
i) Click on Gift Master.



Steps ii):

  1. Specify the Gift Name.

  2. Specify the Prize Worth Amount

  3. Set the Status to Active or Inactive.


Step iii) Once the "Gift master" created  , Under the "Loyalty Prize info" we can configure

 i) Choose the gift from the Dropdown
ii) Specify the Start and end point   - Customer comes between within the mentioned point get the Gift 




Loyalty Customer Mapping:


The Loyalty Customer Mapping screen is specifically used to map a selected loyalty program to specific customers, based on the user’s
preference to offer targeted loyalty benefits.


Note:Applicable to all customers" was set to "No". Therefore, you can use the "Loyalty Customer Mapping" screen to map individual customers
and assign the respective loyalty program to each one.

Steps to Bill and How Loyalty Points Are Added

Step 1: Go to Sales -> Sales Bill.

Step 2: Create a bill for the customer.

Based on the customer's Loyalty status, loyalty points will be automatically added to their account.

Reports to Check Loyalty Points Added Against the Bill:

 

Go to Reports -> Master -> Customer Loyalty Details.

The Loyalty Point field, displays the selected customer's total earned loyalty points. These points can be redeemed at the time of billing.

Select the items to be billed, Click Save to open the Tender screen.
  1. Press " L", to get the loyalty options shown in the Tender screen.
  2. In the Redeem Amount field, enter the amount to be redeemed . The redeem amount cannot be greater than the current amount. 
  3. Click Ok to save the bill.


Steps to Create a Loyalty Program for Distribution verticals:  

We have made some modifications to support multiple Franchise outlet operations. 
Let us take an example here, Consider 'Ovenstory' is a sub franchise of master franchise 'Behrouz'. This mapping can be established
by assigning 'Behrouz' as Headquarter for 'Ovenstory'. The details created in subfranchise outlet will be displayed in master franchise
outlet as well i.e., loyalty details created in Ovenstory's user login will display in Behrouz's user login but not vice versa. This works
based on the configuration '
Show global Customer/Customer Category for franchise'. If loyalty created for all location must not showing
franchise user login then simply disable the configuration and it won't show. 

1. Any loyalty created with 'All Locations' branch will displayed in any user's login.



2. Any loyalty created with Behrouz branch will be displayed in only Behrouz user's login and not in Ovenstory user's login.


3. Any loyalty created with Ovenstory branch will be displayed in both Behrouz and Ovenstory user's login.






FAQ:-

1. Can I create multiple active loyalties?
     No, at any given time, only one loyalty can remain in ACTIVE status. 

2.  How can I map loyalty to customer in retail flow?
     In retail flow, there's no separate mapping in loyalty screen. In customer master screen, 'Enable Loyalty' must have value as 'Yes'. Whichever loyalty is in active state, that will get applied for the customer. 

3. The Loyalty Managament menu's are not showing in my domain. 
      The Loyalty Management comes as a customer license. The menu's will be enabled only if the license is purchased.
