FAQ of Sales Bill

1) How to check the Hold bill in reports

 

Go to  Reports > Sales > hold transactions > hold bill details  

 

2) If you are using session management, we cannot close the session without clearing the holds bills

Yes , we can't close the session without clearing the hold bills.  

 

3) If the bill is Hold then the stock will get reduced from the inventory ?

   yes , Once the bill were hold stock will be reserved.

 

4) If we hold the bill and recall the bill after two days what date and sequence will come for bill ?  

 

Bill date will be the date on which the bill has held and bill sequence will be generated on latest sequence

 

5) What to do when particular bill is not showing in edit mode?  

  • Check the counter name in which the bill is done. In one counter, Only with same counter name bill can be edited

  • Check whether Sales return is done for the bill

  • Check whether the sale bill is cancelled

  • Check whether any credit bill adjusted. For Credit bills once the payment is adjusted, it will not be applicable for edit.

  • Check whether the Payment mode is done via RRN mode. If the payment is done via RRN, and it is not applicable for Edit, since logically it is not a correct process. If you still want to Edit the invoice, Cancel the Sale return done, for which the RRN was raised initially and then try Editing the invoice.

  • Check if the e-invoice status has been marked as 'Completed' for the sales bill. If the e-invoice status is 'Completed,' the bill will not be available in edit mode.
    Note: The IRN-generated bill can only be edited on the same day the bill was created.

6) Where can we check the footfall entries in reports?  

Go to Reports->Audit->Footfall details report

 

7) GST tax% are mapped for the items but after adding the item in sale bill, tax is not showing as 0.   

 

If the branch is composite, then for all the items tax will be 0 since Composite trader must not levy any tax charges from the customer

 

8) While billing, tender type was wrongly mapped, is it possible to change the tender type?  

 

You can load the bill in edit mode and change the tender type

 

9) Item is active and stock is there for the item. But while loading the item, getting error as "Stock details not found".  

 

Solution - This error will come if the item has expired. Checked for the expiry date of the batch of the item via Current stock branchwise report. You have to extend the expiry date or import new batch of stock to continue billing.

 

10) While adding items in sale bill, getting error as "Rate less than fixed rate"  

 

Solution - Check if the selling price provided for the item is greater than cost price and landing cost. If not, you can modify the same via change selling migration. 11) While converting the delivery note to sale bill, getting a message as item expired. What is the solution?  

 

Answer - The Delivery note has to be cancelled if the item is expired. After extending the expiry date of the item, new delivery note has to be raised and the same can be converted into invoice.

 

12) If there are more no of batches for an item, then which price will be picked up by default in Sale bill?  

 

Answer - By default, it will take the latest price of the item. You can decide whether to take the selling price that is assigned for specific batch. Disable the "Hide batch lov in sales" from business configuration so that you can view the batches of item and choose accordingly.

 

13) How to add Sales man in sale bill?  

 

Answer - Enable the "Show salesman" configuration from Business configuration. You will find the field name "Sales executive". Press enter and it will list out the users and employees created( You can create the user via Employee master, Refer the link Create Employee or Users  for creating the user ). You can select the sales man and load the bill

 

14) How to provide Billwise and itemwise discounts in Sale bill?

15) What does Home delivery type mean and where will it be used?  

 

Answer - Home delivery is used when a truck load of goods are packed and invoiced and sent out to be delivered to the customers. For dispatching the goods, the delivery type should be mapped as home delivery. Refer the link Home delivery on how to do home delivery

 

16) How to change the Bill date?  

 

Answer - Enable the configuration "Allow back dated entries for sales, orders and sale returns" from business configuration and the bill date will editable.

 

17) How to set Bill wise GST inclusive or Exclusive?  

 

Answer - By default, the tax inclusive or exclusive calculation will be based on what is mapped for the items in item master. If you want the whole bill to be tax inclusive or tax exclusive, refer the link Setting Tax inclusive and Exclusive 

 


  

 

18) While loading the item in sale bill, getting message as "Stock details not found" even though stock is there for the item?  

 

Answer - This message will come if The item stock has been expired. Only solution is to extend the expiry date via Item batchwise update migration or import new batch of stocks for the item. 19) Getting below Error as "Kindly Reselect the Customer to Proceed" while saving the bill?  

 

Answer - The Reason for the occurrence of this error is because of the following:

 

(a) You are putting a sale bill, entering the customer name "abc", then you add 3,4 items in sale bill. Then you duplicate and open the domain in next tab and change the state code mapped to the same customer "abc". Then again in sale bill tab, you have removed the customer name and added again. After that, you have added few more items and now you try to save the sale bill"

 

Since you have changed the state code mapped, for first few items one different GST tax will be calculated and after replacing the customer name, different GST tax will be calculated. Due to this conflict, this error occurs.

 

(b) If state is mapped as other or any other invalid state for the customer, this error will occur.

 

Solution - Load the customer in Customer master EDIT and map the correct state and GST for the customer. Later, Go to Sale bill and load the bill again, remove the customer name once and add it again(If incase of Sale bill Edit) and then proceed in saving the bill.

 

20) Is it possible to make the customer selection as Mandatory in the sales bill ?

 

Answer - Yes, We have an configuration "Make Customer Name as Mandatory in Sales" by Go to Tools --> Configuration --> Business configuration and search with the Config "Make Customer Name as Mandatory in Sales" Enable the same. If you enabled the configuration, You will not be able to do the sales bill without choosing the customer Name.

 

21) Is it possible to change the payment type after the bill got saved?

 

Answer - Yes, Load the sales bill in edit mode and save the bill and change the payment type which you need and save the bill. After that you can verify the payment type of the sales bill in the view mode.

 

22) I am unable to sell an item in decimal and what are the steps to be followed for that?

 

Answer - Go to Master --> Item --> Item --> Edit the Selective Item and check  the  "No of Decimals for Fractional Qty" field and as per the given decimals in the item master and you can sell an  item accordingly in the configured decimals and check the attached screen shot.

23) Is it possible to check the Actual bill date and time in any of the report?

 

Answer - Yes, we will be able to check the actual bill date and bill time in the "Bill wise Item wise Sales detail Report"

 

Purpose - If the back date billing is done, we can easily identify the actual bill date and time against the sales bill which we have done.

24) The item created in the Item master but the item is not showing in the sales bill ? Why ?

 

Answer - Kindly check the sales column has been enabled against the item in item Property settings screen. If not enabled enable the same and check in sales bill.

 

25) Unable to edit the MRP in Sales Bill Screen. Is there any other way to edit the same?

 

Answer - Yes, try change selling screen for changing the MRP. Kindly refer the help document - https://help.true-pos.com/Change-Selling.html for changing the MRP.

 

Note : If you changed the MRP then the MRP Price will reflect against the item only not for the Existing bills.

 

26) While trying to login through user, I am getting the Request Exception error. Why?

 

Answer - Kindly check the print tool is installed in that particular system or if already installed then go to Local disk c --> Program files (X86) --> Raymedi easy print --> Double click the Print sync application which is available in the Raymedi easy print folder.

27) The item has been created as Serialized Item and the serial No is not showing in the Sales Bill LOV while trying to do the bill? What can I do now?

 

Answer - Kindly check and enable the Configuration "Serial LOV Required" by going to Tools --> Configuration --> Business configuration and check the same.

 

28) I need to print the barcode from sales bill what can I do for this?

 

Answer - You can enable the configuration by going to Tools --> Configuration --> Business Configuration --> enable the "Print Barcode in Sales / Transfer out" and check the same while trying to save the sales bill and you will get an pop up stating "Do you want to Print Barcode" and give Ok and you will get the Barcode print.

 

29) I need to change the Cost price for an item, what are the various ways?

 

Answer - You can do via Item Price change for item wise and if you wanna change the cost price bulk then you can do via location wise item update Migration.

30) In Sales Bill screen , Description option  while searching the item it does not show the item , When we search by the item contain name?

 

Answer:  Go to Tools ->Configuration ->Business Configuration ->"Enable contain Search for items" ->Update

 

 

 

 

31) In sales bill screen, while trying to load the items with item code or item name it is not getting loaded automatically?

Ans:Go to Tools → Configuration → Business Configuration. Search for the setting "Enable alias code search for the item" and check if it is enabled. If it is enabled, kindly disable it and save the changes.

After that, check the sales bill screen — it should be working fine.

32."Access Denied" Message When Viewing Sales Bill via the "Eye" Icon in the "Daily Sales (Bill No. Wise)" Report


This error appears when the user does not have the necessary permissions to view the Sales Bill.message

Checklist:
Ensure that the user's role is configured with the following access rights:

  • Screen Access to the Sales Bill screen

  • View Permissions for the Sales Bill

  • Sub Menu / Drill Down Access to allow detailed transaction viewing from reports

Once these permissions are granted, the user will be able to view the Sales Bill without encountering the "Access Denied" .
