How to create a Sales Return in RetailEasy On Cloud

 

A sales return occurs when a customer returns goods previously purchased due to defects, damage, or dissatisfaction. The seller reverses the original sale, updating inventory and accounts accordingly. It's recorded in the books to reflect accurate sales figures and helps maintain customer satisfaction and trust in the business.

Steps to proceed for sales Return 



1. From Dashboard Navigate to the Sales tab -> Click on Sales Return → Sales Return Window will open




2. Press enter key in Bill No. then list of sales bill LOV will display.




3. Load the respective Bill against that customer who wants to return the product.



4. Press the enter key on the code, and a list of items will popup. Select the item that the customer want to return.  


5. After loading the item, enter the Qty and item level disc % / Disc Amt 


6. Select a Return Mode from the list:
        1. Cash - to indicate that the Return Amount is Cash
        2. Credit Note - to indicate that the Return Amount is recorded as a Debit Note in Account Receivables
        3. Wallet - to indicate that the return amount is recorded in Wallet like Google pay, Paytm etc.
        4. Card - to indicate that the return amount is recorded in a card like debit card, credit card etc.
        5. RRN - to indicate that the sale return is done by exchanging an item. Refer the link RRN to know the process of sale return Via RRN

Note:
Credit Note selection is available only for the Customers saved with Payment Type as 'Credit Only' or 'Cash and Credit'. Refer Customer for more details.



7. Press F6 or click Save.
On saving, the Sales Return No appears as shown below:




Then, the Current Stock quantity increases as per the Return records for the item.

 

 

 

 

 

Frequently Asked Questions (FAQ)-

Is it possible to do sales return without Bill Number?
Yes, It's possible you can do sales returns without bill number for that kindly do the following steps
1. Enable the configuration (Allow Sale Return without Sales History )
2. Disable the configuration (Allow SR based on Bill No )


How many mode of payment will return screen support?

The return screen supports following mode of payment - Cash, credit, card, wallet and RRN


What will happen after a sale return is done?

 After the sales return, the current stock quantity increases as per the returned quantity for the item. You can check in current stock report.

Why was it taking time to load the bills when clicked on the Enter bill no field.

 If the configuration "Show Sales bill in SR based on - All" then it will take time to load, since the software need to load all the bills made right from the start


While doing sale return, after loading the customer name, no items are listing in LOV?

 In the Business configuration, check if both "Allow sale return based on bill no" and "Allow sale return without sale history" are enabled. Disable any one configuration and reload the sale return screen and check.


 

While doing Sales Return getting the attached error as 'Quantity greater than the actual Stock received for the item?
If you have already completed the opening stock for that item and subsequently performed a stock update to adjust the inventory. This is the reason you are unable to process the sales return.



While doing a Sales Return, I am getting the error 'Quantity greater than the actual stock received for the item'?
If the opening stock for the item has already been entered and later a stock update was performed to adjust the inventory, this can cause the error. Due to this adjustment, you will not be able to process the Sales Return.



For eg: Purchase or Opening stock with stock as 5  → Sales as 3 → Stock update to 10 → Attempting sales return as 3,which is causing the error.

To resolve this, please disable the configuration "SR based on bill number" in Business Configurations and enable the following two configurations:

  • "Allow stock update to inward stock"

  • "Allow sales return without sales history"

Once these settings are applied, the return process will work as expected.

 

 

 

When We are trying to do the sales return based on Bill No configuration, but the sales bill is not showing in the sales return Screen to do the sales return why?


Kindly check the configuration " Show Sales Bill In SR Based on" by Go to Tools --> Configuration --> Business Configuration and search with the config "Show Sales Bill In SR Based on". For an Example, if  the configuration has set " Show Sales Bill In SR Based on 1 month" then the sales bill which has done for 1 month only will display and after that we can set the Configuration " " Show Sales Bill In SR Based on 6 month or All" then all the sales bill or  the sales bill which done for the 6 month will be display in the Sales return screen accordingly.
