Buy Back

 Buy back Claim typically refers to a process where a customer returns a product they previously purchased from a store, and in exchange, the store buys it from them. This could be due to various reasons, such as dissatisfaction with the product, a change in needs, or a desire to upgrade to a newer model.

  How to Perform Buy Back

  1. Go to Master--> Tools--> Master Configuration.

  2. Click Edit in Item.

  3. Under the Sales tab, Click the checkbox to visible the Allow Buy back field.

 

4. Navigate to Master--> Item--> Item, Under the Sales tab update Allow Buy back as Yes.

 

 

There are three Payment types in the Buy back screen.

  • RRN

  • Cash

  • Coupon

How to Claim Buy Back, when Maintain Inventory was "No"?

Note: When the Inventory Category status was No, You can edit the item name in the buy back screen if the item preparation type was an Open Item.

 

  • In the Item master screen, Under the Packing tab, the Preparation status should be Open Item. 


  How to view buy back in Sales Bill screen?

 In Business configuration, check the Buyback Entry mode configuration was "Adjustment".

 

Steps to View Buy back in sales  bill screen-

  1. Then open Sales--> Sales Bill.

  2. If you want to select the Payment Type as "RRN", then the customer details was mandatory, so kindly select the customer details.

  3. Click Shift +F12 --> Buy Back button.

  4. Now buy back screen will opened

  5. If you Select RRN as Payment Type. RRN represents retrieval reference number. i.e replacement for the purchased item.

  6. If you select Payment type as Cash, then you have to give Cash for the Buy back item.

  7. If you select Payment type as Coupon, then you have to give a Coupon for the purchased item.

  8. If RRN chosen, customer name is mandatory. For cash & Coupon, the customer name is not mandatory.

  9. In the Buy back screen,If Maintain Inventory is chosen as No, then only items in the Item Master screen with a preparation status was Open Item and Allow Buy back set to Yes alone will be listed in the Buy back screen.

 

 

 

 

 

10.Click Item name

11.Select the Item

 

12.Enter the No.of Quantity, select the Reason for the Item return and enter the Remarks.

13.Select the collection type, whether the item "To be collected" or it was "Collected".

14.Click the Add Item button.

15.Click the Save button.

 

 

In Sales Bill Screen,

  1. Go to Sales--> Sales Bill

  2. Enter the Customer details which you selected in buy back screen with "RRN" Payment type.

  3. Select the Item

  4. Click Save.

  5. In Tender Screen, you can found RRN.Then click N.

  6. Enter the Adjustment amount.

  7. Click Ok.

 


How to Claim Buy Back, when Maintain Inventory was "Yes"?

  1. If Maintain Inventory is chosen as "Yes". Then only the item which has Allow buy back field should be "yes" only listed in the Buy back screen.

  2. Then you have to choose Inventory Type as "Buy Back Scrap" or "Buy Back Refurbish".

  3. Buy Back scrap means the item was returned to the manufacturer.Buy Back Refurbish means the item can be repaired & sold by the shop owner.

  4. Buy Back Scrap & Buy Back Refurbish are two different inventory Classifications.If wants to sell the buy back item needs to convert this BB item qty from these inventories to Trade, then only it can be billed.

 

5.Click on the Item name field.

6.Select the Item.

 

 

 

7.Enter the No.of Quantity.

8.BB price, which represents the selling price & moreover, you can able to edit the BB Price.

9.Select the reason for the Item return and enter the remarks.

10.Select the collection type, whether the item "To be collected" or it was "Collected".

11.Click the Add Item button and click the Save button.

 

 

  How to sale the item if the item convert to Buy back scrap?

To sell a Buy Back (BB) item, its quantity must first be converted from the Buy Back inventory to Trade inventory. Only then can it be billed.

  1. Go to Inventory--> Inventory Classification-->Stock Conversion

  2. Select the Inventory From as "Buy Back Scrap".

  3. Select the Inventory To as "Trade".

  4. Select the Item

  5. Enter the Quantity

  6. Click Save.

 

  • Once it was converted to Trade, then you can sell the item.

In Sales Bill screen, put sales bill for the item.

 

  Buy Back Claim Report

  • Once Saved in sales bill screen, then check the details in Buy Back Claim Report.
