 Damage/Wastage Stock Entry   


Purpose:

The
Damage Stock Entry in Retail POS is used to record items that are broken, expired, or otherwise unsaleable. It helps keep inventory levels accurate by removing damaged stock from sell-able quantity. This process ensures better stock visibility and prevents billing of non-saleable items. It also aids in tracking losses and identifying recurring damage issues. Overall, it supports clean inventory management and reliable financial reporting.

 

Damage stock entry allows to enter the stocks which cannot be sold and are to be removed from the inventory due to reasons like damage or wastage.

For example: Let’s say you’re reorganizing a shelf and accidentally knock a jar off the edge onto the floor. Or maybe a sprinkler gets set off and soaks the entire magazine rack.Sometimes, your inventory will shrink for reasons other than sales. Some common causes include:
1. Accidental damage in the store or the stock room
2. Shipping damage
3. Theft
4. Wastage caused by spill
Loss prevention is an important part of running any small business.In addition to taking physical precautions to protect your goods, you'll want to keep an accurate count of what you are supposed to have at any time.

Steps to follow for the process of damage/Wastage Stock Entry:

 

1.Go to Inventory > Damage/Wastage Stock Entry.

2.Click on the New Damage Stock button.

To make a Damage Stock Entry, follow the steps below. 

1.Choose Location from the drop list


2.The Date field is a read only field and displays the current date and it is non editable.



3.In the Stock Type, select the stock type from the list as wastage, damage or Theft.

 

 

4. In the Code field,

  • To Search with Item Name,Place the cursor on the item code field and  and press enter key , the item LOV pop up will be displayed, Search with the item name and load the item in the screen.

 

  • To load the item automatically in the rows, kindly enter the item code in the field and press Enter. The item will then load automatically.

 

Note: Items are displayed in batches if they have different purchased rates.

 

5.In the Qty field, enter the item quantity which is regarded as damaged.

6.The Cost Price, Sell Price,MRP,Packing Qty,Gst%,Gst Tax amt and Net Amt are read only field and are automatically displayed as soon as the item code and qty is selected.

Once you verify the same, click on the add button and go for next item entry.

If you need to edit or cancel the added item in damage stock entry screen,

7. Click on Edit symbol to edit the row item as shown in the screen shot below.

8.Click on the Cancel button to cancel the row item as shown in the screen shot below.

 

9.Once the Items are added, if you scroll down, there will be a remarks and message box, which you can use for leaving feedback/adding notes for that particular entry for future tracking.

 

 

10.Click On the Save button to save the damage stock entry.

11. Click the Cancel button to leave the page in the damage stock entry.

12. Click the Clear button to in the damage stock entry.

How to view Enter Damage/ Wastage Entry :  

When you open the - Damage stock entry menu, the below screen will be displayed with the list of entries which you have made already.




You can filter with respect to the below parameters:

1.Location - The list of locations will be shown in the list, you can choose the location which you need to filter.

2.Using the search option, You can give the damage/wastage entry no, which will filter the particular entry.

3.Once the filter is given, just click on the VIEW option as shown in the below screen shot, it will give you the whole entry which was made.

NOTE : It is only for view purposes, cannot be edited.

Q1) Can I track the damage / wastage stock entry in reports?

Answer - Yes, The Damage/Wastage Stock Entry report is viewed in the Report > Inventory > Stock Analysis > Wastage/Damage Stock. If you click on the

Entry date, you can check the item wise damage stock entries done for the corresponding date.

 

Q2) Is there an Edit / Cancel option in Damage/wastage stock entry.

Answer -Yes, It is available at the time of making new damage stock entry, But not after saving it.

 

Q3) Can i do the damage stock entry for the serialized item?

Answer - Yes, You can make the damage stock entry for the serialized item also.

 

Q4) Will the damage stock entry affect the current stock?

Answer - Yes, When you make a damage stock entry, the no.of qty entered in damage stock will be reduced from the current stock qty.

 

Q5) Can I add the message and remarks in damage / wastage stock entry screen and track in reports?

Answer - Yes, The remarks / message can be added at the time of new damage stock entry, and It can be viewed in Damage/Wastage Stock Entry report is viewed in the Report > Inventory > Stock Analysis > Wastage/Damage Stock. Column name - Message, Remarks.

Q6) In Damage Stock Entry screen, while trying to load the items with item code or item name it is not getting loaded automatically?
Answer-Go to Tools → Configuration → Business Configuration. Search for the setting "Enable alias code search for the item" and check if it is enabled. If it is enabled, kindly disable it and save the changes.



After that check it should be working fine.

Q7)How it will reflects in accounts under which ledger?

Answer-For Damage/Wastage entries, the impact will reflect based on the ledger mapped in the Ledger Mapping screen.
By default:

  • Damage stock entries are mapped to the Damage A/c ledger.

  • Wastage stock entries are mapped to the Wastage A/c ledger.

Note: To view inventory-related entries in General Ledger Report, ensure that the following setting is enabled:
Go to Tools → Configuration → Admin Configuration → Transactions, and under this section, enable "Inventory in Accounts Posting Configuration".

Q8)How it will reflect in GSTR reports?

Answer- Damage/Wastage stock entries are not reflected in GSTR reports. Therefore, if such entries are made, it may result in a mismatch in the GSTR report, as the values related to damage or wastage will not be included.
