Sometimes your customer's requirement changes once they have placed an order. There are many reasons like (Wanting to add some items (or) Want to change an item (or) Want to apply a different offer and Want to change the delivery slot etc.,) Sometimes you are unable to serve your customers what they have ordered. There are many reasons like (Damaged goods, Expired goods, Improper maintenance of physical stock, or Physical stock that has been sold before billing etc.,) In both of these scenarios you can either take a new order from your customer or cancel the existing order. But these actions will create a negative impact on customers' shopping experience and result in a decrease in sales.
In OrderEasy, now you can avoid all these by easily modifying the sales order placed by your customer with the help of the "Allow online orders edit in portal" configuration. This configuration will help you provide the best shopping experience for your customer by helping both you and your customer make changes in the sales order.
Note: This feature is only applicable on "Supermarket" vertical and only for the orders placed on "Pay on Delivery" mode of payment.
Let us see how you can enable this configuration and modify the sales order in the OrderEasy portal.
Step1:
Go to Configuration --> App Settings --> Enable "Allow online orders edit in portal" and Click "Save". Now you will be able to modify the pending sales order.
Step 2:
Now you can go to the Transactions --> Sales Orders
Step 3:
From all the sales orders, you can select the pending sales order you want to modify and click "Edit Order" to modify the sales order.
Note: The sales order will sync to the POS only after the acknowledgement of the seller.
Once you click you will be able to see the "Order Edit" screen. You can modify your customer's sales order here
Step 4: You can perform 3 kinds of modifications in the customer's pending sales order.
ii) You can add/remove the item in the sales order
If your customer wants to change an item in the order (or) if you don't have a particular item in physical quantity and want to provide an alternative product to your customer. You can now add/remove the item in the sales order and can also increase/decrease the quantity of the item available in the sales order.
For Example:
If your customer ordered "Pepsi 600Ml and Yipee Noodles 1P"c and wants to add "Lipton Pure and Light 25Bags", "Bru Coffee Instant 100G" and one more "Pepsi 600M" bottle and remove "Yipee Noodles 1Pc". You can make these modifications in the sales order.
ii) You can add/alter Offers & Promo codes for your customer.
If your customer wants to change the offer that they applied for a particular sales order (or) if your customer's sales order value increased by the modifications so they decided to avail a better offer. You can now remove and add a new offer.
iii) You can modify the delivery slot selected by your customer.
If your customer is not available for the selected delivery time slot and wants to pick another delivery time slot (or) If you want to change the delivery time slot time based on your convenience, you can now change the delivery time slot of a particular sales order.
Step 5: To avoid any malpractices done by your employees and also to keep track of the modifications in the sales order you can provide.
i) Mode of confirmation with the customer
The sales orders are modified based on your customer's request (or) you will modify the sales order based on your interest. In both of these, a mode of communication happens between you and your customer. So you can mention which mode of communication you use to confirm the changes made to the sales order and use it as a reference in future.
a) If you contacted your customer through a call to confirm the changes, you can select 'Call'
b) If you reached your customer through chat and confirmed the changes, you can select 'Chat'
c) Other modes of communication such as "If the customer visited the store and requested for modification", you can select 'Others'.
ii) Remarks
Remarks are given to share any information about the modifications with your customer.It also reflects in the "Order Edited history" column so you can take it for your reference.
For example: If a customer requested to add some extra items in a phone call. You can give remarks like "All the required items are added" as remarks.
Step 6:
Once all the necessary details are added, you can complete the process by clicking "Save & Confirm Order"
Note : Once you have modified and saved the sales order, that sales order will move to "Acknowledged" state. You will not be able to edit the same sales order again.
Step 7:
You will be able to acknowledge the changes in the sales order in the "Order Edited history".
