In order to simplify the year end process, we have summarized the possible FAQ's below:
1.Is it mandatory to do year end ?
No, The next financial year is auto created in TruePOS when complete the first bill for new financial year. For Truebooks, you can do year end at your convenient time when after completing your last year transactions. 2.Can we change bill number to 1?
The billing sequence cannot be set as 1 as True pos wont allow duplicate bill sequence even across financial year. We generally suggest you to use the financial year as prefix and differentiate the bill for different financial year. Example - 262700000, etc..
3. I have changed the sequence in "Sequence master" screen, but still I am getting old bill sequence, why?
The billing sequence change is applicable only for users who are using counter wise bill no. If you are using same series across all the locations, it will not be applicable for you. You can continue with the current running series only.
4. How to set different start series for different counter ?
TruePOS will not allow to set different series for each counters. Once the sequence start number is set, it is applicable for all the counters.
5. How Can we cancel/edit bills done in last financial year ?
Bills done in last financial year cannot be cancelled, it can only be returned.
6. Can we do financial entries for last year after doing year end ?
Yes, But after doing year end if you change any details in last transaction year, you have to do force year end process again in order to make the opening of the new financial year corrected.
7. I have made invoice in last Financial year, then adjusted the payment in current financial year. After adjusting why it is showing again as pending in billwise receipt or billwise payment for last financial year?
Checklist to be done:
* Check the date when the invoice is made
* Check in which Financial year, the payment was adjusted
* If the payment adjustment was done in previous Financial year, then you have to do force year end process
Whatever the invoice date maybe(even before 5 years), if you are receiving or making payment in current date, the same has to be adjusted with current date(Current financial year). If the FY is chosen as the year when the invoice was made, then you have to do force year end process again to carry forward the previous closing balance to current year opening balance.
8. Why my previous year closing balance not carry forwarded as opening balance of current financial year?
Truepos will automatically change Fiscal year to current year without any year end process. But If you do any transactions after the start of new financial year, then you have to do force year end process, so that the previous year closing will be carry forwarded as opening balance for current year.
9. Where to check if I have done year end process or not?
Step 1 : Open your Truebooks page , Go to Reports -> More -> Activity logs -> Transactions Audit Summary
Step 2 : Select the Voucher Type as "Year End process". Login name can be left blank. Select the financial year for which you wish to know whether you have done the year end or not. Click on Go button.
You will find the entries denoting the date along with time and user from which the year end process was done similar to the below screenshot
10.How to skip year end in true books?
Year end process is not mandatory so you can skip the year end process
11.How to do year end after doing back date billing?
After doing the year end if your doing back date billing in the last transaction year you have to do the force year end to reflect the changes which you had made after the year end.
12.How to take physical inventory ?

13.How to upload opening balance from excel sheet ?
To upload the opening balances from the excel kindly use the masters named :Customer receivables and the supplier payables.
Step 1:To do the same kindly go to Tools-->master migration-->select the master as Customer receivables/Supplier payables and click on load Config.
Step 2:Click on the save config and then click on the CSV .
Step 3:Fill the sheets with the details and then save it.
Step 4:To upload the sheet click on the upload sheet and select the master,browse the sheet and then click on upload file.
Note:If you want the customer or the supplier details kindly take the details from the supplier master or the customer master reports(reports-->master-->customer master/Supplier master)
14.How to clear accounts in Trueboks?
We cannot clear the accounts in the Truebooks.
15.How to start fresh account in true books ?
To start the fresh accounts in the TruePOS kindly dont do the year end process and then make the new opening balances.So then you can start the fresh accounts.
16. to do year end after editing the previous year accounts?
After doing the year end if you change any details in the last transaction year you have to do the force year end to reflect the changes which you had made after the year end.

18.How to to edit the previous year account entry?
You can edit the previous year accounts as per the needs.If you want to reflect the same in the current year opening balances you should do the force year end.
19.Is it mandatory to do Year begin process for all system?
No, its not mandatory to do Year begin process for all system. If you do in admin login it will reflect for all system.
