Setup Configuration Settings [HQ]

The Setup Configuration Settings screen in HQ allows you to configure and manage HQ-level setup options. These settings are critical, as the entire HQ workflow depends on them.

Proper configuration ensures smooth system operations and consistent behavior across connected outlets.

To configure the Setup Configuration Settings:

Open HQ and navigate to Admin > Configuration > Setup Configuration Settings.

  • Proxy Settings  

As the name suggests, this section allows you to configure and manage proxy-related settings required for HQ connectivity and communication.

The following options are available under Proxy Settings:

  • HTTP Proxy Host: Enter the proxy server host name or IP address.

  • HTTP Proxy Port: Specify the port number used by the proxy server.

  • Peer Group Site: Configure the peer group site details.

  • No Proxy For: Define addresses or domains that should bypass the proxy.

  • Mail GOFRUGAL when HQD Upload Fails: Enable email notifications to GOFRUGAL if HQD upload fails.

  • Send Mail to Local Team: Enable email notifications to the local team for upload failures.

 

These settings help ensure reliable network communication and timely alerts in case of upload or connectivity issues.

  • Mail Server Settings  

This section allows you to configure the mail server in HQ so that emails can be sent automatically from HQ.

The following options are available under Mail Server Settings:

  • SMTP Host Address: Enter the SMTP server address used for sending emails.

  • Require Authentication: Enable this option if the SMTP server requires authentication.

Configuring these settings ensures that HQ can send system notifications, alerts, and other automated emails successfully.

  • Employee Portal  

This section allows you to configure employee portal-related settings that control specific operational behaviors.

The following options are available under Employee Portal:

  • Call Back Required: Enable this option to require call-back confirmation for applicable actions.

  • Item Price Configuration: Control item price configuration behavior within the employee portal.

  • Allow Sales Order Rate Edit: Allow or restrict editing of rates in sales orders.

These settings help tailor employee access and operational controls based on business requirements.

  • Central Purchase Configuration  

This section allows you to control pricing and audit-related behaviors for centrally managed purchase and selling price operations.

The following options are available under Central Purchase Configuration:

  • Allow Selling Price Less Than Purchase Price: Permit selling items below the purchase price.

  • Enable Audit for Change Selling Price: Track and audit changes made to selling prices.

  • Allow Selling Price Less Than Landing Cost: Allow selling prices below the landing cost.

  • Update Item Master Price from Change Selling: Automatically update item master prices based on change selling actions.

  • Update Eancode Master Price from Change Selling: Update EAN code master prices when selling prices are changed.

  • Default Change Selling Based On: Define the default basis for change selling calculations.

  • Change Selling Auto Update: Enable automatic updates for change selling prices.

  • Restrict Items Save Count in Change Selling Screen: Limit the number of items that can be saved at once in the change selling screen.

  • Auto Calculate Assembly Item Price in Change Selling Screen: Automatically calculate prices for assembly items during change selling.

  • Enable Post Effective Date Scheduler for Change Selling Screen: Schedule price changes to take effect on a future date.

  • Send to Outlets Based On: Define the criteria for sending price updates to outlets.

  • Send Branch Price Master in Outlet Price Master (Default): Enable sending branch price masters to outlet price masters by default.

These configurations help ensure accurate pricing control, auditing, and synchronized price updates across outlets.

  • PO Export Configuration  

This section allows you to configure Purchase Order (PO) export settings used while generating and sharing PO documents.

The following options are available under PO Export Configuration:

  • PDF Title: Define the title to be displayed on the PO PDF.

  • PO Export: Enable or configure the PO export functionality.

  • MRP Allowed in PDF Export: Allow inclusion of MRP details in the exported PDF.

  • Attach T&C with Mail: Attach Terms & Conditions when sending PO documents via email.

These settings help standardize PO document formatting and control how POs are exported and shared.

  • Indent-wise Replenishment  

This section allows you to configure settings related to indent-based stock replenishment between branches or outlets.

The following options are available under Indent-wise Replenishment:

  • Inter-Branch Indent Approval: Enable approval workflow for indents raised between branches.

  • Show Last Purchase Supplier for Indent: Display the last purchase supplier while creating indents.

These settings help streamline the indent approval process and improve decision-making during stock replenishment.

  • Item Master Settings  

This section allows you to configure item-related rules, validations, defaults, and synchronization behavior across HQ and outlets.

The following options are available under Item Master Settings:

  • Item Code Generation: Define how item codes are generated.

  • Outlet Code Generation: Configure outlet-specific code generation.

  • Item Master UI Settings: Control UI behavior in the Item Master screen.

  • Default Item Activity Status: Set the default active/inactive status for new items.

  • Image Category: Define image categorization for items.

  • Image Mapping Based On: Specify the basis for automatic image mapping.

  • Delete Source Image After Automap: Remove source images after auto-mapping.

  • Item Category Sync: Enable synchronization of item categories.

  • Item Alias Validation: Enable validation for item aliases.

  • Item Alias Mandatory: Make item alias a mandatory field.

  • Enable HSN Code Mandatory: Enforce mandatory HSN code entry.

  • HSN Code Length: Define the allowed length for HSN codes.

  • Allow EAN Code Duplication: Allow or restrict duplicate EAN codes.

  • Maximum Length for Short Name: Set the maximum character length for item short names.

  • Allow Franchise Supplier in Item Master: Enable franchise suppliers in item master.

  • Default Barcode Profile: Set the default barcode profile.

  • Default Custom Barcode Profile: Configure the default custom barcode profile.

  • Category Applicable for Online Default Value: Define default online category behavior.

  • Send Immediately on Item Creation: Automatically send item data to outlets upon creation.

  • HSN Master Update in SCM: Enable HSN master updates in SCM.

  • Decimal Point Length: Define the number of decimal points allowed.

These settings help enforce data consistency, validation rules, and smooth synchronization of item data across the system.

  • Other Configuration  

This section provides a wide range of system-wide controls and validations that govern reporting behavior, pricing rules, customer and item validations, integrations, security, approvals, and synchronization across HQ and outlets.

The following options are available under Other Configuration:

  • Display HQ Item Code in Reports: Show HQ item codes in reports.

  • Display All Contacts in Reports: Display all contacts on reporting screens.

  • Display Message in Header: Show a custom message in the application header.

  • Mandate Customer Home Outlet: Make customer home outlet mandatory.

  • Default Sales Price Level Category: Set default sales price level category.

  • Allow to Send Outlet Price Master: Enable sending outlet price master.

  • MRP Validation for Outlet Price Master: Enforce MRP validation.

  • Effective Date Validation for Outlet Price Master: Validate effective dates.

  • Show Location: Enable location visibility.

  • Category Top-down Approach: Apply hierarchical category selection.

  • Report Format: Configure report output format.

  • Enable Service Module: Enable service-related features.

  • Enable Packing for Item: Allow packing configuration for items.

  • Selling Price Export Based on Valid MRP: Export prices only when MRP is valid.

  • Enable NEFT Capturing Details: Capture NEFT transaction details.

  • Enable Supplier Portal: Enable supplier portal access.

  • Export Non-Mapped Tax Items: Export items without mapped taxes.

  • Mobile No Minimum Length in Contact Master: Define minimum mobile number length.

  • Mobile No Maximum Length in Contact Master: Define maximum mobile number length.

  • Allow Duplicate Contact Master Name: Allow duplicate contact names.

  • Allow Duplicate Mobile Number: Allow duplicate mobile numbers.

This section allows you to configure and control loyalty program behavior centrally across all outlets.

The following options are available under Centralized Loyalty Management:

  • Centralized Loyalty: Manage loyalty points and rules centrally from HQ.

  • Loyalty with Card: Enable loyalty tracking using loyalty cards.

  • Loyalty Smart Card Required: Mandate the use of smart cards for loyalty.

  • Migrate Loyalty from Smart Card First: Migrate existing loyalty data from smart cards before applying new rules.

  • Outlet-Specific Item-wise Loyalty: Enable item-level loyalty configuration per outlet.

  • Allow Loyalty Edit: Allow editing of loyalty points or configurations.

  • Loyalty Expiry: Configure loyalty point expiry rules.

These settings help standardize loyalty programs while allowing controlled flexibility at the outlet level.

  • Communication Settings  

This section allows you to configure communication and data transfer parameters between HQ and outlets.

The following options are available under Communication Settings:

  • Connection Timeout: Maximum Wait Time (in seconds): Define the maximum time the system waits for a connection.

  • Max. Number of Files to Be Uploaded: Set the maximum number of files allowed per upload.

  • Enable SSL: Enable secure data transfer using SSL.

  • Allow Complete Data Sync: Allow full data synchronization between HQ and outlets.

These settings help ensure secure, reliable, and controlled communication across the system.

  • Cluster Portal  

This section allows you to configure cluster-level procurement and approval controls across outlets.

The following options are available under Cluster Portal:

  • Enable Cluster Portal: Activate the cluster portal functionality.

  • Enable PO Preview: Allow previewing Purchase Orders before submission.

  • Enable PO Hold for Approval: Enable holding POs for approval.

  • Enable PO Restriction Alert Message: Display alert messages when PO restrictions apply.

These settings help enforce centralized control and approval workflows within cluster-based operations.

  • Tax Configuration  

This section allows you to define and control tax-related rules and validations across HQ and outlets.

The following options are available under Tax Configuration:

  • Tax Configuration: Configure tax structures and rules.

  • Transaction Configuration: Define tax behavior for transactions.

  • Tax No. Length: Set the required length for tax numbers.

These settings ensure accurate tax calculations and compliance across all transactions.

  • Accounting Configuration  

This section allows you to configure cost center–related accounting settings used in financial transactions.

The following options are available under Accounting Configuration:

  • Cost Center Category Type for Transaction: Define the category type used for cost center allocation in transactions.

  • Cost Center Item Category: Map item categories to cost centers.

These settings help ensure accurate cost allocation and accounting consistency.

  • Price Management  

The fourteenth and final option is Price Management. This section allows you to control selling price rules, audits, automation, and synchronization related to price changes across HQ and outlets.

The following options are available under Price Management:

  • Allow Selling Price Less Than Purchase Price: Permit selling prices below the purchase price.

  • Enable Audit for Change Selling Price: Track and audit selling price changes.
