Outlet Supplier Item Mapping – Overview
The Outlet Supplier Item Mapping feature in Gofrugal HQ allows businesses to map different suppliers for the same item across different outlets.
This is useful when:
The same item is sourced from different suppliers
Supply depends on location, availability, distance, or logistics
Each outlet requires a different Main Supplier
Business Scenario
For example:
Item: Britannia 50-50
Warehouse Supplier: ABC Enterprise
Another Outlet Supplier: XYZ Enterprise
Due to regional availability or transportation considerations, the item may have different main suppliers in different outlets.
To manage this efficiently, we use Outlet Wise Supplier Item Mapping.
Purpose
Assign supplier-item relationships outlet-wise
Define outlet-specific Main Suppliers
Improve procurement accuracy
Support decentralized purchasing models
How to Perform Outlet Wise Supplier Item Mapping
Follow the steps below:
Navigate to BPM > Purchase Management > Supplier Settings > Outlet Supplier Item Mapping.
Select the required Outlet Name and Supplier Name from the respective lists, then click the GO button.
The complete list of items mapped to the selected supplier for that outlet will be displayed on the right side of the screen.
Select the Based On option as either Category Based or Item Based, depending on your requirements.
For this example, choose Category Based to map suppliers to items based on selected categories.
Select the required Category Names from the list based on your business requirement.
The system will then display the items belonging to the selected categories for supplier mapping.
Select the required Item from the Item List to proceed with the outlet-wise supplier mapping.
Click the New Map button to map the selected item to the chosen supplier for the specified outlet.
For example, select the second item from the list and proceed with the mapping process as required.
Note: The mapped items will be displayed in the right-hand panel, allowing you to verify the supplier-item mapping for the selected outlet.
Click the Send to Outlets button to push the outlet-wise supplier item mapping configuration to the respective outlets.
Select the required Outlet from the list, then click the Send to Outlet button to complete the mapping transmission.
A confirmation popup will appear stating “Send to Outlet Successfully”.
When you select Based On as Item Based, follow these steps:
Choose the required Item Name from the list.
Select the appropriate Supplier Type (Main / Secondary, as applicable).
Click the New Map button to complete the supplier mapping for the selected outlet.
This method allows direct item-level supplier mapping instead of category-based mapping.
Refer to the image below to verify that the mapped item is displayed in the right-hand panel, confirming that the outlet-wise supplier mapping has been completed successfully.
Outcome
When a purchase is created for a specific outlet,
The mapped supplier will be automatically considered as the main supplier for that item.
