Item Master Bulk Update – Overview  

Item Master Bulk Update in Gofrugal HQ enables businesses to update multiple item records at once, reducing manual effort and improving data accuracy.

This feature is especially useful for:

  • Businesses with large inventories

  • Price revisions across multiple products

  • Tax (HSN/GST) changes

  • Supplier updates

  • Reorder parameter modifications

  • Status activation/deactivation in bulk

Instead of editing items one by one, the Bulk Update tool allows centralized and structured updates through a streamlined process.

How to Update Item Master in Bulk  

To perform a bulk update:

  1. Open the Item Master Bulk Update screen in HQ.

  2. Apply the required filters (Category, Supplier, Brand, etc.) to select the items you want to update.

  3. Choose the specific fields you want to modify (e.g., Price, Tax, Reorder Levels, Status).

  4. Enter the updated values.

  5. Review the selected items carefully.

  6. Click Update to apply the changes.

  7. If required, push the changes to outlets using the Send to Outlet option.

  1. Open HQ and navigate to MDM > Item Master Management > Item Master Bulk Update.

  1. Click the Choose Applicability drop-down. Choose one of the following options based on where you want the bulk update applied:

  • All Outlets

  • Outlet Wise

  • Area Wise

Refer to the screenshots below.

All Outlets  

  1. Select the All Outlets option from the Choose Applicability dropdown and click the Go button.

The system will display all the common fields applicable across all outlets, allowing you to perform bulk updates centrally for the entire chain.

  1. Click the Filter button to refine the list of items displayed on the screen.

Enter the required filter criteria (such as Category, Manufacturer, Items etc.), then click the Apply button to load the filtered items for bulk update.

To customize your view:

  1. Click the Manage Columns button.

  2. Select the columns you want to display or hide.

  3. Click the Save Configuration button to apply and store your column settings. 

Enter the required Item Code in the Item Code Search box to filter and narrow down the displayed items.

Enter part of the Item Name in the search field. The system will automatically filter and display items that contain the entered keyword.

Click the Notes icon to view the associated notes for the selected item.

Click the Refresh icon to reload and refresh the screen data.



Make the required changes, then click the Update button to apply and save the modifications to the Item Master.

 

2. Outlet Wise  

  1. Select the Outlet Wise option from the Choose Applicability dropdown.

  2. Choose the required outlet from the list.

  3. Click the Go button.

Note: There is also an “All” option in the outlet list, which represents all outlets within the Outlet Wise mode.
This is different from the “All Outlets” option in the Choose Applicability dropdown. Both serve different purposes.

When working in Outlet Wise mode:

  • The fields displayed may differ from All Outlets mode.

  • Several fields may appear as non-editable, depending on configuration rules and outlet-level restrictions.

This mode is used when updates need to be applied to specific outlets rather than globally across the chain.

Make the required changes and then click the Update button to apply and save the modifications to the selected outlet’s Item Master.

3. Area Wise  

  1. Select the Area Wise option from the Choose Applicability dropdown.

  2. Choose the required Area from the list.

  3. Click the Go button to load the relevant items.

  4. Make the necessary modifications.

  5. Click the Update button to apply and save the changes to the Item Masters for the selected area.

This option is useful when updates need to be applied to outlets grouped under a specific area, ensuring controlled and region-specific master updates.

Note: For safety and synchronization, go to the Item Master screen and click the Send to Outlet button.

This ensures that all the updated master changes are pushed and communicated to the respective outlets, keeping outlet data consistent with HQ.

This feature supports three levels of applicability:

  • All Outlets – Apply common updates across the entire chain.

  • Outlet Wise – Apply updates to a specific outlet (or selected outlets).

  • Area Wise – Apply updates to outlets grouped under a specific area.

Users can:

  • Filter items using Category, Supplier, Brand, Item Code, or Item Name

  • Customize the display using Manage Columns

  • View item-specific notes

  • Refresh data as required

  • Apply changes using the Update button

  • Push updates to outlets using Send to Outlet

The Bulk Update tool is especially useful for:
