How to assign tasks to stock takers based on virtual locations in the store?

How to divide the stock count task within employees by assigning virtual locations to them?


In a retail supermarket, each item maybe placed in different locations around the store. Dividing the main location into multiple small locations will help in distributing the stock count task among employees.

 

Benefits of Stock Take Location master:

 

Dividing the main location into small virtual locations can be done using the Stock Take Location master. This will help to map the employees for each small location and distribute the work amongst them, such that the efforts and time required for completing the stock audit is reduced significantly. It also helps the manager in knowing the stock of an item in different location, such that he can decide to move them from one place to another if required.

 

How to divide the stock count task within employees using Stock Take location master?

 

Step 1: Once you login into GoSure web-app, click on Settings, go to "Stock Taking Configuration" tab and enable the checkbox "Enable Stock taking area master".

 

Step 2: You can decide how the summing up of stock count from different locations is to be done. If you want the quantities to be summed up only at the end of the day, enable "End of day" and if you want to be summed up and updated once an update is done by employees, enable "Stock update is done". Click on "Apply".

 

 

 

 

 



Step 3: Go to Settings --> Stock Take Location Master and choose the location from the drop-down (you will see the locations created in POS in the drop-down). For example, we have location in POS as "Main Location", and we can divide this location into small locations like Billing counter, Godown, Ground floor, Rack etc from this screen.

 

Step 4: Enter the name of the virtual locations (Example, Billing counter, First floor, Godown, Ground floor, Rack etc) in the column 'Stock Take Locations' under the 'Stock Take Location Master' menu. Make sure to keep the status as 'Active', and click on "Apply".

 

 


Step 5: For mapping the employees to stock take locations, enable the configuration "Employee mapping with stock take locations" from the 'Settings' tab.

 

 


Step 6: Now, you can map the employees to the stock take location from the "Stock Take Location Master" menu under the 'Settings' tab. For example, we have assigned employees to Billing counter and First Floor as shown in the below image.

 

 


Step 7: The Stock taker will be able to do stock count in a specific location of a store. They can select the stock take location, by clicking on the Main Location and selecting from the list.

 


Step 8: You will be able to see the stock count of the different batches and in different locations by clicking on 'View Batches'.

 

 


Step 9: You can understand the stock count of an item at different locations in a store by clicking on the "Stock Take Locations" button at the left of the pop-up window.

 

 

 


Step 10: Upon clicking 'Stock Take Locations', you will be able to see the Normal count and Damage count at each stock take location as shown in the below image.

 


Note: The virtual locations created in Stock Taking Area master are restricted to the GoSure screen and will not be reflected in the Location master of RPOS6/RPOS7/DE.

 


Conclusion: Creating virtual location using Stock Take Location Master and mapping them to employees will reduce the efforts and time involved in counting an item from different locations, and also helps in tracking the stock in each area of the store efficiently, such we can decide to move them from one area to another if required.
