Matrix Item & Matrix Item Extension – Overview
When a single product has multiple attribute combinations, it is managed as a Matrix Item in Gofrugal HQ.
This approach is commonly used in industries like ready-made garments, footwear, and electronics, where a product exists in multiple variants.
What is a Matrix Item?
A Matrix Item allows you to manage multiple combinations under one parent product.
Example: Jeans
A single product like “Jeans” may have multiple:
Brands → Denim, Diesel, Wrangler
Sizes → 32, 34, 36, 38, 40, 42
Styles → Stretch, Chino, Relaxed
Colors → Black, Blue, Green
In this structure:
Brand, Size, Style, and Color are treated as Categories
The specific values (Denim, 32, Stretch, Blue, etc.) are treated as Subcategories
All combinations are managed under one parent item: Jeans
This simplifies inventory handling, reporting, and replenishment.
What is Matrix Item Extension?
The Matrix Extension screen provides advanced configuration options for matrix items. It allows you to manage and update details either for:
All outlets
Specific outlets

Using the Matrix Extension screen, you can configure:
Reorder settings
Discount configurations
Online management controls

Activity status (Active / Inactive)

It also allows filtering of matrix items based on:

Next Step
Now, let's see how the Matrix Extension screen functions, step by step.
Open HQ and navigate to MDM > Item Master Management > Matrix Item Extension.
Under Filters, select the required outlets from the list to view and manage the Matrix Item details for those outlets.
To search for items:
Select Item Based if you want to search using the item name.
Select EAN Code if you want to search by EAN code, either by typing the code manually or scanning it.
Choose the appropriate option based on your preferred search method.
Note: In this example, the Item Based option is selected to search using the item name.
After selecting the item, choose the required categories to filter and view the specific matrix combinations.
Select the required Business Configuration from the Business Config section.
You can choose from various available configurations, such as:
EAN Code Update
Reorder Settings
Activity Status
Image Mapping
Online Management
All Outlets
Discount Configuration
Select the appropriate option based on the update or management action you want to perform for the matrix item combinations.
Note: When All Outlets is selected in the outlet selection dropdown, the available options in the Business Config section will be limited to:
Outlet Specific
Reorder
Activity Status
Discount
Other configurations such as EAN Code Update, Image Mapping, and Online Management will not be available in this selection mode.
You can now select the required combination view from All / Real / In Stock, based on your requirements:
All – Displays every possible combination of the selected item categories, including both existing and potential combinations.
Real – Shows only the actual combinations that are created and valid for the item.
In Stock – Displays only the combinations that are currently available in inventory.
Choose the appropriate option to filter and manage the matrix item combinations effectively.
Click the Apply button to load the items on the screen based on the selected filters and configurations.
Now, let us review each combination option individually with examples:
When you select the Al” option, HQ will display every possible combination configured for the item “SHIRT”, including all category and subcategory variations (such as Size, Color, Brand, etc.), regardless of stock availability.
When you select the Rea” option, HQ will display only the actual (valid) combinations that are created and maintained for the item “SHIRT.”
This excludes unused or theoretical combinations and shows only the combinations that are officially defined in the system.
When you select the In Stock option, HQ will display only the combinations of the item “SHIRT” that currently have available stock.
This view helps you focus on combinations that are actively available for sale or replenishment.
Now, let's review the available Business Configurations and understand the outcome of selecting each option.
EAN Code Updation
The EAN Code Updation business configuration allows you to add or update EAN codes for matrix item combinations.
Using this option, you can:
Assign unique EAN codes to each variant (e.g., Size–Color combination).
Modify existing EAN codes in bulk.
Ensure accurate barcode scanning at POS.
Maintain standardized barcode data across outlets.
This configuration is especially useful when:
New barcodes are received from suppliers.
Incorrect EAN codes need correction.
Multiple outlets require synchronized barcode updates.
It helps ensure accurate billing, smooth scanning, and proper inventory tracking across the system.
Reorder
The Reorder business configuration allows you to add or update replenishment parameters for matrix item combinations.
Using this option, you can configure the following:
Reorder Min Qty – Minimum quantity threshold that triggers replenishment
Reorder Max Qty – Maximum stock level to maintain after replenishment
Reorder Min Days – Minimum stock coverage in terms of days
Reorder Max Days – Maximum stock coverage in terms of days
Reorder Min Value – Minimum stock value threshold for reorder consideration
Reorder Max Value – Maximum stock value limit for replenishment
These settings help automate and optimize the replenishment process by ensuring that each matrix combination maintains appropriate stock levels based on defined business rules.
Activity Status
The Activity Status business configuration allows you to update the status (Active / Inactive) of matrix item combinations.
Using this option, you can:
Activate combinations that are ready for sale
Deactivate combinations that are discontinued or temporarily unavailable
Control POS visibility of specific variants
Manage product lifecycle efficiently
This ensures that only the required and valid matrix combinations remain active in the system, reducing billing errors and improving inventory control.
Image Mapping
The Image Mapping business configuration allows you to add or update the image path for matrix item combinations.
Using this option, you can:
Assign product images to specific variants (e.g., Color–Size combination)
Update image paths in bulk
Ensure accurate product representation in POS and online platforms
Maintain consistent visual display across outlets
This is particularly useful for businesses managing online sales, digital catalogs, or image-enabled POS systems, where correct product visuals are essential.
Online Management
The Online Management business configuration allows you to update the Applies Online option (Yes / No) for matrix item combinations.
Using this option, you can:
Enable specific variants to be available for online sales
Disable certain combinations from being listed online
Control which products are synchronized with e-commerce platforms
Manage online assortment independently from in-store assortment
This ensures better control over digital catalog visibility, preventing unavailable or restricted combinations from appearing on online channels.
All Outlets
The All Outlets business configuration allows you to add or update key details across all outlets simultaneously for matrix item combinations.
Using this option, you can manage:
Applies Online (Yes / No)
HSN Code
EAN Code
This configuration ensures that critical item attributes are standardized across every outlet, reducing inconsistencies and manual effort. It is especially useful when bulk updates are required for compliance (such as HSN changes) or barcode corrections across the retail chain.
Discount
The Discount business configuration allows you to add or update discount details for matrix item combinations.
Using this option, you can configure:
Disc Type – Specify whether the discount is a fixed amount or a percentage
Disc Value – Define the discount amount or percentage to be applied
Status – Set the discount as Active or Inactive
This enables centralized control of promotional pricing across variants, ensuring consistent discount application at the outlet level and reducing manual intervention during billing.
Now, let's explore how to search within the items that have already been filtered in the Matrix Extension screen.
After applying the required filters (Outlets, Item Based/EAN Code, Categories, Business Config, and All/Real/In Stock), you can further narrow down the results using the available Search options.
You can:
Use the Search box to enter:
Item Name
Item Code
EAN Code
Category values (e.g., Size, Color, Brand)
Use the Search Parameters (if available) to refine results based on specific attributes.
This helps you quickly locate a particular matrix combination without manually scrolling through all filtered results, improving efficiency while managing large variant datasets.
Click the Search button to load and display the results based on the entered search criteria.
Select the required Column Name, choose the appropriate Filter, enter the desired value, then click the Search button to display the filtered results.
Note: After performing the search, the results will be displayed along with a notification shown above the Search button.
Since only one keyword was used in this example, the indicator displays “1” above the Search button, representing the number of active search criteria applied.
Next, let's see how to enable or disable the columns displayed on the screen, allowing you to customize the view based on your operational requirements.
Click the Columns option to view and manage the list of available columns. Notice that the Item Code and Comb ID columns are currently active, indicating that they are enabled and visible on the screen.
Uncheck the boxes next to Comb ID and Item Code, then click the Apply button to update the column display settings..
Refer to the screenshot below to observe that the Comb ID and Item Code columns are no longer displayed after disabling them.
Additionally, this screen provides options to import and export data directly, enabling bulk updates and efficient data management for matrix item combinations.
